Who Should Be On Your List?
Guestily is all about increasing bookings in two key ways:
- Encouraging past guests to stay again and refer their friends;
- Reaching out to past enquiries who have not yet stayed
Past enquiries are incredibly important – they might have wanted to stay at your property but it was already booked for their dates and they would be very receptive to stay with you next time. Keeping in touch with these enquiries and extending an offer or incentive to book next time they travel will make a significant difference to your bookings over time.
Before we go on, let us just confirm that your own list remains yours. It is 100% secure and no one apart from you and Guestily will every have access to your list. Like any reputable email marketing service, our reputation depends on maintaining the highest level of security and confidentiality. It goes without saying that your guest list is never shared with anyone else, ever.
List Structure & Format
For use with Guestily, you just require a list of First Name and Email Address.
The ideal format is a spreadsheet or .CSV file (CSV means ‘Comma Separated File’ and it’s just a fancy name for a special form of text file with a comma separating each record).
Here is an example spreadsheet you can download and use as a template to copy and paste your own data if you like:
Whichever format, the file just needs two columns: First Name and Email Address.
Building Your Initial List
Building your initial list to use with your Guestily service is an easy process:
- Gather a list of past guests; and
- Gather a list of people who have enquired in the past but did not book.
If you list your property through an online site like Stayz, HomeAway etc, this is a good place to start to gather your email list.
If you use an online booking system on your own website you will be able to export a list from this. If you are not sure how to export from the service you use, send their Help Desk a quick email or just google ‘[program name] how to export a list of guest enquiries’ and you will quickly find instructions.
You may also have emails from past enquiries in your email program. All email programs allow for export of the address book (again, contact their Help Desk or Google instructions).
Some website portals/OTAs (online travel agents) do not reveal the real email address of enquiries and instead allocate a special email address to each enquiry. You cannot use this special email address with Guestily and we must respect their system’s design to maintain control via their platform and guest privacy. If you get a lot of bookings/enquiries from a site like this, you need to develop a process for gathering the guest’s actual email independent of the portal – for example, on a check in or registration form the guest completes on or before arrival.
The process of gathering your list is not exactly exciting work – but once you have compiled the historical data all the hard work is done – you’ll find from then on Guestily does all the work preparing and broadcasting your promotions and your initial time spent preparing your list will pay dividends over and over again.
Adding to Your List
Each time you submit a promotion with Guestily, you will be able to supply a list of additional subscribers for us to add to your list.
Subscribe Form for Your Website
If you would like to allow visitors to your website to subscribe to your list, we can provide you with the code to place a subscribe form on your website. This is a great way for people who visit your site (but who are perhaps not quite ready to book) to stay in touch with you and receive your promotional offers.
